Stallholder Terms & Conditions

These terms apply to all stallholders participating in the WEDOYOGA Wellbeing Day at
Hitchin Lavender.

1. Application & Acceptance

All stallholders must complete an application form.

Spaces are limited and curated, and not all applicants will be accepted.

Confirmation of your space will be provided via email.

2. Payment & Booking

Stallholder spaces must be secured with full payment upon acceptance.

All payments are non-refundable.

3. Set-Up Requirements

Stallholders are responsible for providing their own:

• Tables
• Gazebos or shelter
• Equipment and display materials

This is an outdoor event, and all setups must be suitable for outdoor conditions.

4. Arrival & Set-Up Times

Set-up times and arrival details will be shared in advance.

All stallholders must:

• Arrive within the allocated time
• Be fully set up before the event begins
• Remain set up for the duration of the event

5. Weather Policy

This is an outdoor event and will go ahead in most weather conditions.

Stallholders are responsible for ensuring their setup is suitable for wind, sun or light rain.

No refunds will be issued due to weather conditions unless the event is cancelled due to extreme circumstances.

6. Products & Conduct

All products and services must:

• Match what was outlined in your application
• Be appropriate for a wellbeing-focused audience
• Comply with relevant UK regulations

We reserve the right to request removal of any unsuitable items.

7. Health & Safety

Stallholders are responsible for:

• Their own equipment and setup safety
• Ensuring their stall does not pose a risk to attendees
• Holding any required insurance (where applicable)

8. Event Environment

This is a community-focused event.

We ask all stallholders to:

• Be respectful and professional
• Engage positively with attendees
• Contribute to the overall atmosphere of the day

9. Event Changes

We reserve the right to make changes to:

• Layout of stall areas
• Event structure
• Timings

These changes may be necessary due to operational requirements.

10. Cancellation by Organiser

In the unlikely event that the event is cancelled due to extreme circumstances, further information will be provided regarding next steps.
